COACH SPORTOVIA APP - TUTORIAL
- Coach Sportovia is a tool dedicated to help you manage your athletes' training plans, analyse their progress and to communicate with them on daily basis. Get your job done better, faster and wherever you are.

- 1. Coach Account
- 1.1 My Coach Account
- You can easily create your Coach Account by registering with the Coach Sportovia app or by using our web page www.sportovia.com. Remember that the more precise you are, the better for you as athletes may search for a coach by: name, location (city or country), discipline, spoken language or specialization.
- Personal data
- Fill at least the following details: first and last name, gender, date of birth, country, spoken language (up to 3).

- Disciplines
- Mark the disciplines you can coach from the list.

- Bio
- Choose your specialization and enter your biography.

- Prices
- Choose the currency and set the prices for individual athletes and teams. Remember to enter your PayPal email address – otherwise you will not be able to receive any payments.

- 1.2 What if I'm also an athlete?
- If you are also an athlete, you can easily benefit from the use of Sportovia, a free tool dedicated to all sports enthusiasts. You can use the same e-mail address and password for the both platforms. Once logged in, you can plan, track and analyse your own workouts, statistics and metrics. Moreover, you can get access to the diet module or even...hire a coach.
- 1.3 I don't want athletes to see my account
- If, for any reason, you want new athletes stop seeing your Coach Account in their search results, log out from the Coach Sportovia app (if you have been useing it), go to our web page www.sportovia.com and log in to your account with your e-mail and password. Go to "Coach Account". There, under the "Bio" tab, clear all your specializations (coach/doctor/dietician/physiotherapist) and save the changes. New athletes will not be able to find nor hire you.
- You can decide to become available for new athletes again at any time by marking your specialization (online or using the Coach Sportovia app).
- 1.4 I want to remove my account
- If you are really sure to remove your account, write us an e-mail with your request to mobile@sportovia.com from your e-mail address registered to Sportovia. Please mind that this action cannot be undone, you will not be able to log in neither as a coach nor as an athlete. And we will miss you!
- 2. Athletes
- 2.1 How can athletes find me?
- Once your account is created, athletes from all over the world can find you using the Sportovia app or www.sportovia.com. Athletes may search for a coach by: name, location (city or country), discipline, spoken language or specialization. They can also contact any coach to get know them better before hiring.
- 2.2 Hiring procedure
- Athletes (or team owners) can send a query to a coach they would like to hire. Once you receive a query (you will get notified), you can check the athlete's profile, contact them, accept/reject the cooperation. One athlete/team owner can send more queries to one coach if needed.
- Basicly, the hiring procedure looks like this:
- For individual athletes:
- - Athlete finds the coach they want to hire and sends a query. The athlete chooses the available option of cooperation (the coach sets the prices for given periods under "Prices" tab in Coach Profile) and start date (3-30 days from now)

- - Coach accepts the query (under "Athletes" – "Athlete_name" – "Cooperation" for Android/iOS or under "Cooperation history" for Windows Phone/online)

- - Athlete pays for the cooperation using PayPal
- - Once the payment is done, the cooperation begins (from the day selected by the athlete as the start date). The coach will get access to the athlete's Calendar (assigning single workouts), Metrics, Stats and will be able to assign training plans (which do not exceed the duration of the cooperation).
- - The athlete may rate the cooperation and send the opinion about the coach (preferably – when the cooperation is to finish).

- For teams:
- - The team owner finds the coach they want to hire and sends a query. The team owner chooses the available option of cooperation (the coach sets the prices for different sizes of the team under "Prices" tab in Coach Profile) and start date (3-30 days from now). The cooperation with the team lasts always one month.
- - Coach accepts the query (under "Teams" – "Team_name" – "Cooperation" or under "Athletes" – "Team_owner_name" – "Cooperation" for Android/iOS or under "Cooperation history" for Windows Phone/online)
- - The team owner pays for the cooperation using PayPal
- - Once the payment is done, the cooperation begins (from the day selected by the team owner as the start date). The coach will get access to the Calendar (assigning single workouts), Metrics, Stats and will be able to assign training plans (which do not exceed the duration of the cooperation) individually to each member of the team.
- - The team owner may rate the cooperation and send the opinion about the coach (preferably – when the cooperation is to finish).
- 2.3 How can I accept/reject the cooperation query?
- Once an athlete sends you a query, you will be notified.
- For Android/iOS: you can also check if there are any applying athletes under "Athletes" tab. To check the status of the cooperation, tap the name of the athlete, go to "Cooperation" tab and see the list of queries. Once you tap the chosen status, you can accept/reject the query.

- Online/Windows Phone: you can do the same under "Cooperation history" tab.
- 2.4 Athletes list
- Under Athletes tab in the menu, you can find the whole list of your athletes. For Android/iOS the list is additionally divided into:
- - Applying – those who sent the query and expect coche's response
- - Waiting for money – those who were accepted by the coach but have not paid yet
- - Paid – the cooperation is already paid for but the start date of the cooperation is in the future
- - Current athletes – those who paid and the cooperation start date has passed

- 2.5 I don't want more queries from this athlete/team
- If, for any reason, you do not want to receive more inquiries from the given athlete/team, go to "Athletes" ("Teams") – "Athlete_name" ("Team_name") – "Cooperation" tab and unmark "Allow cooperation" checkbox.

- The given athlete/team will not be able to send you any query until the checkbox is unmarked.
- 3. Calendar and trainings
- 3.1 Assigning trainings to specific athletes
- Once the cooperation has begun, you can manage your athletes training plans using the "Calendar" tab.

- When adding a new workout, you need to set:
- - discipline
- - name (if not set, the name of discipline will appear)
- - date and time
- Additionally, you may:
- - set training goals (choosing from: distance, duration, avg. pace, calories, heart rate zone)
- - add workout note (eg with the details of the training)
- - mark the activity as competition/rehabilitation/biological recovery if it is not a regular workout

- If you enter a planned workout, you can easily change all it's details, accordingly to your needs.

- 3.2 Completed workout – results, rating, comments
- Trainings with green OK sign in the Calendar are the completed ones.
- When you enter the completed workout, you may check:
- - exact date and time
- - results
- - rating – athletes may give their feedback after the workout, rating their feeling, weather conditions, terrain or leaving a post-workout note
- - training goals (and if they were completed or not)

- Moreover, using Android/iOS, you can also see:
- - map with marked route
- - graphic charts showing the changes of pace, speed and elevation
- Having analysed the above, you can also easily comment the given workout to give the athlete your opinion about their performance.
- 3.3 How to assign the same training to different athletes?
- You can only assign a single workout to a chosen athlete.
- If you wish to assign the same training to different athletes, you need to create the same workout to each athlete separately.
- Nevertheless, you may also create training plans (consisting of any number of workouts) and assign them to as many of your athletes as you wish.
- 4. Training plans
- 4.1 Creating new training plan
- You can create any number of your training plans under the "Plans" tab. It is as simple as giving the name of the plan (eg "Marathon in 3.30") and you are good to start creating workouts.

- You have exactly the same options available as for a single workout. Instead of the specific date of the workout, choose the appropriate day of your training plan.

- At any time you can add, edit or remove workouts as well as the whole training plans.
- 4.2 Assigning training plans to my athletes
- Once your cooperation with your athlete has begun, you can assign traning plans to their calendar. Remember, though, that you may only assign training plans which end before the end of your cooperation.
- You may assign unlimited number of training plans to one athlete. You can also assign one training plan to unlimited number of athletes.
- While assigning a training plan, you need to choose a sepcific athlete and the first day of the training plan. The workouts will appear in the athlete's calendar as single trainings. If you need to enter changes for the specific athlete, you need to edit those single workouts.

- Changing your training plan (under the "Plans" tab) will not affect the already assigned workouts to the athlete's Calendar and vice versa.
- 5. Teams
- 5.1 Creating new team
- You can easily create your own team under the "Teams" tab. You can set the name and optionally: avatar and description.

- Once the team is created, any athlete and coach can find and apply to join your team. Applying users can only see the team profile and team members list.
- 5.2 Managing members (accepting/removing them)
- Only the team owner can accept applying members and remove the current ones from the team. It can be done under the "Members" tab.

- Also, the team owner is the only one to disband the team.
- 5.3 Communication within the team
- The team owner, current members and team coaches may send posts and comments to the team timeline. These messages will be seen by all the mentioned ones but not, for example, by applying users.

- If you want to send a private message, you can easily do this from the members list. Later, you can continue your conversation under the "Messages" tab.
- 5.4 Hiring a coach for the whole team
- The team owner may find and hire a coach for the whole team (using the Sportovia app or online). To do that, go to the "Coaches" tab. When sending your query, choose the starting date, then the option starting with "Team" and the proper number of athletes that the trainer is supposed to coach (eg "Team 5-10"). The duration of the cooperation between the team and the coach is always 1 month.
- Once the cooperation is accepted and paid for, the coach will have the access to all the athletes, who are the members of the team. Nevertheless, the coach should not interfere in the training plans of higher number of athletes than declared.
